Preparing Documents for Online Applications: A Checklist

PDF Merger – free online tool guide

Online applications are faster than queues at an office, but they come with their own frustrations: “file too large”, “invalid format”, “please upload all documents in one file”. A little preparation avoids last-minute panic before the deadline. This checklist covers everything from scanning to final checks, with free tools like our PDF Merger.

1. Read the instructions twice

Note for each document:

  • Accepted format (PDF, JPG)
  • Maximum file size
  • Whether documents should be separate or combined
  • Any dimension or colour requirements for photos

2. Gather originals

Typical documents include CNIC or B-form, Matric and Intermediate certificates, degree and transcripts, domicile, photographs, experience letters and fee challans. Keep them flat and clean for scanning.

3. Scan clearly

Use a scanner or a phone in good daylight. Crop away the background. Make sure stamps, signatures and numbers are readable.

4. Convert and compress

5. Combine in the right order

If one PDF is required, merge in the order the form lists. Put the most important document first.

6. Name files clearly

“Fatima-Noor-Matric-Certificate.pdf” is much better than “IMG_20260915.pdf”. Avoid special characters.

7. Check deadlines

Note the closing date and time. Portals often slow down on the last day. The Days Until Calculator calculator gives you a countdown so you can finish early.

8. Keep copies

Save a folder with every final file and a screenshot or PDF of the submitted form and fee receipt. You may need them for interviews or disputes.

9. Final review

Open each file one last time. Are all pages there, upright and readable? Is the photo recent and correct?

10. Protect your data

Use tools that process files on your device and avoid public computers. Delete copies from shared phones afterwards.
